Whether you're meeting a mobile notary at your home, office, hospital, nursing facility, or another convenient location, a little preparation can help make the appointment smoother and prevent unnecessary delays.

Here are seven things to check before your mobile notary appointment.

1. Have Your Document Ready

Make sure you have the document that needs to be notarized available for the appointment.

Review the document beforehand for blank spaces or missing pages and determine whether there are any instructions from the person or organization that provided it.

Important: Don't sign a document ahead of time if the signature is supposed to be witnessed by the notary.

If you're unsure whether your document requires notarization, contact the organization that issued or will receive the document for guidance.

2. Bring Acceptable Identification

Identity verification is an important part of the notarization process.

Have your identification ready before the appointment and make sure it is current and acceptable for the notarization being performed.

If you're uncertain whether the identification you have can be used, ask before the appointment. It's much easier to address an ID question beforehand than after the notary arrives.

3. Make Sure Everyone Who Needs to Sign Will Be Present

If more than one person's signature needs to be notarized, confirm who needs to appear before the notary.

A notary cannot simply notarize the signature of someone who isn't participating in the required notarization.

Coordinating everyone beforehand can prevent a second appointment.

4. Check Whether Your Document Requires Witnesses

A notary and a witness are not necessarily the same thing.

Some documents may require one or more witnesses in addition to notarization.

Before your appointment, review the document's instructions or ask the organization or professional who prepared it whether witnesses are required and who is permitted to serve as a witness.

If witnesses are required, confirm whether you are responsible for arranging them before the appointment.

5. Choose a Comfortable Place to Complete the Signing

One advantage of hiring a mobile notary is convenience.

Your appointment may take place at your home, office, hospital, nursing facility, or another mutually agreed location.

Try to have a reasonably quiet area with enough space to review and sign the documents.

For hospital or nursing-facility appointments, it's especially helpful to confirm the facility's visitor procedures and room/location information beforehand.

6. Have Questions About the Document Resolved Before the Appointment

A notary's role is different from that of an attorney or the person who prepared your document.

A notary can handle the notarization and identification process but cannot provide legal advice or tell you what a document means or what you should select.

If you have questions about the contents of your document, contact the attorney, agency, lender, title company, or other organization responsible for it before the signing appointment whenever possible.

That helps keep the appointment focused on completing the notarization correctly and efficiently.

7. Send the Notary the Important Details Beforehand

When requesting a mobile notary appointment, providing a few details upfront can make scheduling much easier.

Let the notary know:

• What type of document you have

• Approximately how many signatures require notarization

• How many people will be signing

• Your neighborhood or appointment location

• Your preferred date and time

• Whether witnesses may be required

• Any special circumstances, such as a hospital or nursing-facility visit

You don't need to send sensitive personal information just to request an appointment.

CSS INK Notary understands that plans can change. This policy is intended to provide flexibility to clients while protecting time reserved for appointments and travel.

Cancellations & Rescheduling

Clients are encouraged to cancel or reschedule as soon as possible if they are unable to keep an appointment.

Appointments canceled or rescheduled at least 2 hours before the scheduled appointment time will generally not incur a cancellation fee.

Late Cancellations & No-Shows

If an appointment is canceled with less than 2 hours' notice, or if the client is unavailable when the notary arrives at the confirmed location, a reasonable travel or cancellation fee may apply.

Any applicable fee will take into consideration the appointment location, travel already completed, and expenses incurred.

Mobile Appointments

For mobile appointments, please ensure that all signers are available at the scheduled location and have acceptable identification and the necessary documents.

If the notary has already begun traveling to the appointment, applicable travel expenses may still be due if the appointment is canceled.

Unable to Complete a Notarization

A notarization cannot be completed unless all applicable legal and identification requirements are satisfied.

CSS INK Notary reserves the right to decline a notarization when required by law or when the notary cannot satisfactorily verify identity, willingness, awareness, or other required elements of the notarial act.

If a mobile appointment cannot be completed because the signer does not have acceptable identification, is unavailable, or the document or circumstances do not permit the requested notarization, applicable travel or service fees may still be due.

Apostille & Document Services

Government filing fees, shipping charges, courier expenses, and other third-party costs that have already been incurred may be non-refundable.

Once apostille, authentication, courier, shipping, or other processing services have begun, amounts already spent or services already performed may not be refundable.

Loan Signing Appointments

Cancellation and payment arrangements for loan signing assignments received through title companies, signing services, lenders, attorneys, or other professional organizations may be governed by the terms of that individual assignment.

Refunds

If payment has been made in advance and CSS INK Notary cancels the service before services are performed, amounts paid for services not provided will be refunded as appropriate.

Refund requests involving services already performed or third-party expenses will be reviewed based on the circumstances and applicable costs already incurred.
